Case Study 01
Fifteen years of correspondence across two countries
Challenge
A retired professional returning from the UK had pension correspondence, employment records and benefit letters accumulated over 15 years, held in two cardboard boxes with no clear order. Some documents were from UK providers, some from a prior posting in Malaysia.
Approach
Vesterly sorted all materials into provider and date categories, labelled each section clearly, and created a cross-reference index. The two-session engagement included a full document log and a handover summary describing the new system.
Outcome
All documents accessible within two folders. Client reported that their subsequent meeting with a UK pension tracing service took half the time it would have done previously. Two sessions over three days.

From paper to digital — a complete household archive
Challenge
A couple with Thai and Australian backgrounds had accumulated physical records from both countries. They were concerned about document safety and wanted a way to share key records with their adult children abroad without sending originals.
Approach
Vesterly carried out a full digitization of approximately 180 documents across three sessions. Files were named consistently, organised by category and household member, and delivered on two USB drives — one for each family.
Outcome
Approximately 180 pages scanned, named and organised over three working days. Clients shared copies with two adult children in Sydney and London. Originals returned in full with a handover index.

Preparing for a first conversation with a pension adviser
Challenge
A recently retired teacher was about to meet a regulated pension adviser for the first time and felt uncertain about what to bring, what to ask and how to frame her situation. She did not know where to begin.
Approach
Vesterly provided the Self-Assessment Toolkit at a brief handover session. The client worked through the worksheets at home over four days, noting the documents she had, identifying gaps and drafting a list of questions for her adviser meeting.
Outcome
Client arrived at her adviser meeting with a written question list and a clear summary of the documents in her possession. Her adviser noted it was among the best-prepared first consultations they had seen. Self-contained process over one week.
